Job description
PURPOSE/ MISSION
• Upkeep and improve Document Control systems for the companies’ documents and records in SharePoint and hard copies so that the documents are up to date, easily accessible and safe
• Liaising with the Document Control team across multiple functions to ensure that document control system and practices are fully complied with JMM standards

RESPONSIBILITIES:
• Lead the Document Control function in upkeeping and improving the document standards, document storage standards, procedures, guidelines and SharePoint DMS
• Implement and maintain timely and effective document controls process, procedures and systems
• Work closely with and provide guidance to document controllers of various functions including manufacturing, sales, HR, accounts, supply chain, technical services, etc.
• Use SharePoint for everyday operations, maintenance and quality control
• The storage of the active and archived documents to prevent damage and deterioration. Also responsible for identifying, collecting, indexing, filing, maintaining and disposal of quality
records
• Checking of administrating correctness of documents (Template, document number and classification, issue / revision identification, short signatures for originator, checkers and
approved by etc)
• Collate reports for COO from various sources
• Establish and maintain communications to ensure accurate and timely flow of information
• Notify personnel of updated document versions and how to access them
• Print and distribute documents as necessary
• Any other responsibilities assigned by COO

Desired Skills and Expertise
• At least Diploma or Bachelor’s Degree
• 2 years of experience in document control function, preferably in manufacturing and distribution
• Experience in dealing with confidential and highly sensitive materials and deadlines
• Good working knowledge in Microsoft SharePoint and MS applications
• Strong interpersonal and presentation skills, along with the ability to communicate effectively with others at all levels of the organization
• Good knowledge of MS Office applications, particularly Power Point, Words and Excel
